Paymentwall is looking for an energetic and flexible Office Manager who will support our Berlin office operations. As an Office Manager, you will be responsible for maintaining office systems, setting up office procedures, effectively coordinate with external service providers and ensure that everything within the offices runs efficiently. In addition to this, you will have the opportunity to work on cross-border projects coordinate with other offices to ensure that the group functions as a whole.
Besides the responsibilities of an Office Manager this person must also do Accounting work such as managing the Berlin office’s Payroll and file expenses.

We are looking for someone that is on time with tasks, has a PM mind-set and that will push push push and not be relaxed. They must be organized, meticulous, open minded and have interest in global culture (you will be working with over 30 nationalities and will be teaching us German culture).


- Represent Paymentwall, providing great customer experience when greeting guests, answering the phone, and working with external consultants
- Design and implement office policies by establishing standards and procedures in line with the company culture
- Run official tasks with the government
- Keep track of the expenses of the office on an excel sheet or a basic book keeping software
- Pay bills and set up new accounts with electricity company, etc
- Coordinate payments to suppliers and be in charge of purchases for the office and managing vendors/suppliers
- Responsible for office maintenance, i.e. kitchen, bathrooms (dishes cleaned & put away, ensuring are clean & stocked bathrooms) and others as needed
- Coordinate with other offices for guests that will be arriving for training
- Help us grow and establish ourselves in Berlin and optimize the office by creating new procedures
- Organize employee events and assist the coordination and execution of marketing campaigns and events
- Keep colleagues and other offices informed of all office events, holidays and happenings
- Provide support to office staff by coaching, counseling, motivating and disciplining employees; planning, monitoring, and appraising job results
- Help with operations duties, i.e. supplies, fix it, mail /documents, errands, orders, food pickup, moving or assemble furniture, painting, etc. “no job too small or big”
- Willing to respond to group needs on off-hours
- Report office financials by communicating regularly with the accounting team
- Understanding of VAT principles and basis for VAT
- Analyze operating results including revenue, trends and expenses
- Ensure compliance with applicable Accounting policies, rules, regulation and laws


- Excellent native or fluent in both German and English in written and verbal communication
- Candidates must be a German resident with a work permit and a German education
- Bachelor degree in Management, Marketing, Sales, Business, Advertising and similar would be preferable
- 1-2 years of office management and administrative experience is an advantage
- Fluency in English is required (C1/Advanced)
- Knowledge of accounting software is a plus
- Experience in leading teams of at least 10 people is a plus
- Good negotiation skills is required (i.e. Candidate should be able to negotiate with German of all levels)
- Well traveled individual who can work with other global offices and time zones
- Strong interpersonal skills: Upbeat, friendly, positive attitude, and professional
- Familiarity with the ins and outs of a startup environment and the tech industry is a plus
- Ability to work with a cross-functional and extremely diverse team
- Must have experience making independent, complex decisions and have the ability to thrive in a complex environment
- Self-starter with willingness to learn new things
- Great attention to detail
- Desire to assist others and take on additional responsibilities to support Paymentwall’s growth
- Must be able to research required permits, rentals, assignments, etc. support on all events, including logistics, working closely across departments
- Experience in events/meeting planning
- Must be able to predict outcomes and plan for it as well as anticipating problems/obstacles with the intent to find possible solutions to solve them
- Able to work full-time
